Last updated: October 6, 2026
What this policy covers
This Privacy Policy explains how Rookly Inc. ("Rookly", "we", or "us") handles information when you use Rookly, an early-warning intelligence service for B2B account health and client retention. Based on customer and account information you choose to provide or connect, Rookly analyzes relationship signals, including sentiment and emotional signals, to surface account-health insights and potential retention risks. Rookly is decision support; it does not guarantee that churn will be prevented or a customer relationship retained.
Information you choose to provide
Depending on how you use Rookly, we may process:
- Account and contact details, such as your name, email address, and login information.
- Business account and contact details, customer relationship information, and account-health indicators that you provide or connect.
- Customer communications, feedback, interaction history, and other information you ask Rookly to analyze for sentiment, emotional signals, or account health.
- Analysis results, alerts, and retention-related insights generated from information you provide or connect.
- Information about MCP servers and extensions that you download or connect, including configuration, permissions, tool names, and connection status.
- Messages, support requests, survey responses, and other information you send to us.
Please provide or connect only information you are authorized to use for this purpose. Do not submit secrets, private keys, production credentials, or sensitive personal information unless it is necessary, lawful, and appropriately disclosed to the people concerned.
Information collected when you use Rookly
We may collect limited technical and usage information such as device type, browser, approximate location derived from an IP address, log events, pages viewed, and feature interactions. We use this information to operate, secure, troubleshoot, and improve Rookly. We do not need to inspect the contents of every connected source to provide basic account and site functionality.
OpenReplay analytics are off until you choose to accept them in the cookies and analytics banner. If you accept, OpenReplay may collect session replay, navigation, clicks, scroll depth, and performance or other technical signals in a masked configuration. Inputs and fields containing personal information are masked or excluded. No names, emails, phone numbers, company names, LinkedIn profiles, messages, prompts, passwords, tokens, or free-text form content are intentionally sent as replay metadata. The analytics preference control below can disable or re-enable these analytics.
How we use information
We use information to:
- Provide Rookly features, including account-health analysis and retention insights based on information you authorize us to process.
- Authenticate users, maintain sessions, and remember the connections and preferences they request.
- Analyze authorized customer and account information to provide emotion- and sentiment-aware account-health insights, early warnings, and retention support.
- Protect Rookly, connected accounts, and other users from fraud, abuse, unauthorized access, and security incidents.
- Respond to support requests and communicate about the service, including important product or security notices.
- Understand performance and improve the product, integrations, and account-health experience.
- Comply with applicable law, enforce our agreements, and resolve disputes.
Rookly's account-health and emotion-analysis outputs are estimates to support your team's judgment, not guarantees or a substitute for reviewing the underlying customer relationship. You are responsible for deciding how to act on an insight. We do not sell personal information or use customer relationship information to build unrelated advertising profiles.
Permissions and connected services
Rookly accesses a customer-data source, platform, MCP server, or extension only when you choose to connect it and grant the relevant permission. You can disconnect a source or revoke access through the source provider or the Rookly product when that control is available.
MCP servers and extensions are separate software. You download extensions yourself and connect MCP servers yourself, and those tools may send information to their own operators. Review their permissions and privacy terms before connecting them. Rookly is not responsible for a third-party server or extension's independent data practices.
When a Rookly feature relies on a third-party integration or analysis provider, relevant information may be processed by that provider to deliver the feature. Those providers handle information under their own terms and privacy practices, in addition to any commitments that apply to their services to Rookly. Review the applicable integration information before connecting a source.
When information is shared
We may share information with service providers that help us host, secure, analyze, support, and operate Rookly. They may process information only to provide services to us and under appropriate contractual or technical safeguards. We may also share information when required by law, to protect rights and safety, or as part of a business transfer such as a merger or acquisition.
Retention and deletion
We retain information for as long as needed to provide the service, meet legal and accounting obligations, resolve disputes, and protect Rookly. Retention depends on the type of information and the connections you use. You can request deletion of your account or personal information through /contact. Some information may remain where the law requires it or where it is held by a platform, MCP server, or extension that Rookly does not control.
Security
The primary version of Rookly is designed with security as a core requirement. We apply reasonable safeguards to protect information in our care and review those safeguards as the product develops. No online service, connected platform, MCP server, extension, or transmission can be guaranteed completely secure. You should protect your account, review permissions, keep software updated, and avoid connecting unnecessary secrets.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information. You may also withdraw consent where processing is based on consent. To make a request, contact us through /contact. We may need to verify your identity before completing a request.
You can also control many choices directly by disconnecting integrations, revoking platform permissions, editing your profile, or opting out of non-essential communications. Transactional, security, and service messages may still be sent when necessary.
Children
Rookly is not directed to children under the age required by applicable law. We do not knowingly collect personal information from children without legally required authorization. Contact us if you believe a child has provided information to Rookly.
Changes to this policy
We may update this Privacy Policy as Rookly changes. We will post the revised version here and update the date above. If a change is material, we will provide additional notice when required by law.
